Week-by-Week Schedule

Week 6: confirm recipient counts and engraving lists. Week 5: order stock medals and ribbon. Week 4: send engraving list to factory. Week 3: receive engraved medals, QC them. Week 2: prepare presentation boxes. Week 1: final dry run with the ceremony team. Skip any step and the last 48 hours become miserable.

Build a Buffer Into Recipient Count

Add 5–8% to the expected medal count. Last-minute add-ons (transfer student, surprise recognition, lost-in-transit replacement) happen at every ceremony. The marginal cost of 5 extra stock medals is trivial; the cost of telling a child there is none for them is not.
